To provide office, staff, technical, and administrative support for the Dean of Enrollment Management; serve as a contact point to provide assistance for current Seaver students, faculty, staff and prospective students and their families throughout the enrollment process. By supporting leadership within Seaver Enrollment Management, this position supports the development of strategic enrollment and operational goals for growing Seaver in volume, mission-fit, diversity, and academic quality of students. Furthermore, by training front line staff members and individually serving prospective and current students in a way that provides a personal touch, customer service, and a sense of community to increase satisfaction, this position generates goodwill and a favorable impression to students during times of transition.


  • Administrative financial support (e.g. expense reporting, process departmental C2C requisitions, liaison with cashier for mileage, checks; coordinate PIC compliance, ADP processing, SallieMae audits, application fee/deposit refunds)
  • Support the VIP admission process through relationships with campus partners (e.g. advancement, athletics, etc.); tour and appointment coordination; flagging COC, VIP, YCS, Posse, GTEX prospect and applicant files; reading and making admission decisions on flagged applicants; and creating reports on student yield.
  • Serve as liaison between the admission/enrollment process and Posse (e.g. facilitate retreat and meetings, point person for partners and students), AWP Committee (prepare essays, reports), Tuition Exchange, and Malibu HS Program
  • Oversight of the Non-Degree Program. Reviewing and rendering decisions on applications, communicating with applicants, coordinating with OneStop and the Registrar's Office, etc.
  • Manage, supervise, and mentor team of two front line staff members (Receptionist and Student Staff Coordinator). Provide training and staff development, setting both qualitative and quantitative expectations/measurements for performance. Act as a back-up for the front line staff members and a resource for questions beyond their scope of knowledge.
  • Support the professional development and inter-office collaboration of the Enrollment Management staff through supply inventory, minute taking, record keeping, and policy updating. Act as a Human Resources liaison by coordinating all paperwork, drafting PDQs, collecting and reviewing applications, communicating with applicants, and coordinating interviews.
  • Serve on the Enrollment Management Events Team and assist the Campus Operations and Experience Coordinator in the planning and execution of Regional Information Sessions, Fall Preview Days, Malibu Reception, and various additional Enrollment Management events.
  • Coordinate calendar, hospitality, tech support, facility reservations, scheduling meetings, email and phone correspondence, interdepartmental Enrollment Mangement and Student Services processes (e.g. process registration and probation holds, coordinate student and staff notifications regarding holds, deadlines, probation, etc.), and special projects for the Dean of Enrollment Management. Assist the tech teams with testing and implementation of various webpages. Add and edit data in PeopleSoft (eg. unknown schools).
  • Prepare and synthesize enrollment reports (e.g. status of endowed scholarships, enrollment and admit statistics) for executive meetings utilizing multiple sources of data (e.g. PeopleSoft, national publications, OIE Warehouse, Target X).
  • Perform other duties as assigned.

Skills and Qualifications

Required: Bachelors Degree. 1-3 years administrative experience in an office setting. Strong oral and written communication, attention to detail, ability to multi-task, leadership potential, personal organization, time management, commitment to customer service, interpersonal skills, quantitative and qualitative analytical skills, event planning experience. Proficiency in MS Office Suite, especially Outlook Excel, and PowerPoint.

Preferred: Bachelors degree, Seaver College preferred. 3-5 years previous Executive Assistant experience in higher education setting preferred. Management experience preferred. Strong interest in higher education preferred; previous Office Management preferred. Salesforce, Prezi, Nolij, Access, and PeopleSoft end-user familiarity strongly preferred.

Salary: Commensurate with experience
