Pepperdine University’s department of Department of Design and Construction (DDC) seeks to fill the full-time, restricted position of Field Project Assistant, to serve at the offices of DDC on the Malibu campus. Provide project assistance in fulfilling design, construction, remodel, and campus planning requests for DDC. Primary role is to be an on-site presence at construction projects on campus to ensure contractors and sub-contractors follow and abide by campus work rules, specifically in relation to noise.


  • Support the DDC project management team, completing assigned tasks and assisting project managers and DDC management staff on project feasibility analyses, execution, and close out. Focus is primarily on construction administration, including document management and tracking utilizing electronic spreadsheets and databases.
  • Primary duties will be on site evaluations, tracking of contractor and sub-contractor work procedures, monitoring construction activities to ensure compliance with plans and specs, and monitoring site activity to minimize and mitigate impacts on the campus community.
  • Secondary duties include assisting in the development and implementation of organization systems, departmental processes, and report templates. Assist with permit requests, including research, processing, and tracking. Manage DDC construction document archive library, including researching, filing, reproducing, and tracking as-built plans and other project documents. Assist in collecting, organizing, evaluating, and disseminating project and facility information. Assist project managers with preparation of product data and other materials for presentations and reports to University stakeholders. Responsible for organization, control, and tracking of project documents including submittals and requests for information. Organize and participate, as warranted, in architect, contractor, and consultant correspondence. Develop and distribute written and verbal communications, update schedules, file, and research. Monitor and enforce site traffic safety standards. Monitor and enforce entitlement conditions for noise, site access, and environmental compliance.

Skills and Qualifications

Required: Working knowledge of Google mail, Word, Excel, Adobe Acrobat, and internet research is required. Strong written and verbal communication skills required. Strong organizational skills, with an emphasis on managing multiple tasks and proven capability to meet deadlines is required. Ability to shift priorities for flexibility of assignment and remain productive and calm under pressure is required. Professional demeanor is required. Ability to work independently and as part of a team is required. Normal mobility and ability to move around construction sites and related perimeters, and to lift and carry 30 pounds, including up and down stairs, is required. Early hour and late hour shifts also required. Overtime may be necessary. Must drive personal vehicle for University business (mileage reimbursed), hold valid driver's license, and be insurable under University’s standard auto insurance requirements. 

Preferred: Minimum of one (1) year relevant experience is preferred, preferably in a design and/or construction department. Demonstrated ability to be assertive with contractors and sub-contractors preferred. Bachelor's degree or equivalent course work in closely related field is preferred. Ability to speak Spanish and English preferred. Working knowledge of Adobe Illustrator and Photoshop, MS Access, MS Project, and Autocad is preferred. Knowledge of design and construction project documentation and protocols is preferred. Experience with educational institutions is preferred.
