Seaver College's International Programs Office is searching for an Assistant Director of Admissions and Preparations. This position oversees and has direct management of study abroad admissions as well as study abroad preparation processes and systems. Our study abroad program is ranked #1 in the nation for study abroad participation and long-term study abroad participation according to The Institute of International Education. This key leadership position manages 1,500+ annual applications and prepares 800+ International Programs (IP) participants to study abroad annually. 

Duties

  • Oversight and management of the study abroad admissions process including applications, IT systems, processes, procedures, policies and application decisions/changes. Works closely with the Assistant Director of Marketing and Student Development to attract and retain study abroad participants. Works closely with faculty on student admissions decisions. Manages program waitlists and establishes program capacities and student contracts with IP Director approval. 
  • Oversight of visa processes for 5-10 faculty and 300+ students annually. Supervise the work of the IP Manager of Academics as they manage and coordinate all visa matters. 
  • Oversight and management of all flights. Serves as lead on travel-related issues for IP office, books flights for faculty and resident advisors. Collects non-Pepperdine booked travel itineraries and shares it with appropriate staff. Ensures all students that are booked on Pepperdine-booked flights are accurately booked, assigned and communicated. Leads Pepperdine flight departures. Manages flight changes and decisions needed on flight emergencies on behalf of IP.
  • Oversight and management of IP scholarships. Manages over $160k in annual scholarship awards. Leads scholarship committee, communicates scholarship decisions to students, and allocates scholarship amounts.
  • Oversight and management of student documents needed for study abroad (e.g. visa and passport copies, health clearance forms, homestay forms, etc.)
  • Oversight and management of admissions and preparations workforce. Oversees select work completed by Manager of Academics, Office Coordinator and 2-3 student interns.
  • Perform other duties as assigned.
  • Uphold University mission through work performed.

Skills and Qualifications

Required: Bachelor's Degree, 2+ years of management experience, 5+ years of professional experience, and experience working in information management systems. Excellent critical thinking and organizational skills, high attention to detail and follow through, strong interpersonal skills, ability to work under pressure, and professionalism. Ability to work on a mac-based computer. Proficient in Microsoft Office, especially Excel. Ability to use standard office equipment (e.g. phone, fax machine, copy machine).

Preferred: Master's Degree in business administration, communications, education or a related field. Study abroad or international work/living experience, project management or enrollment management experience, 10+ years of professional experience and 5+ years of management experience. Familiarity with Pepperdine culture. Deep familiarity with group travel, visa processing, database management, and collegiate admissions processes and systems. Advanced skills in Microsoft Office, especially Excel. Knowledge and experience with PeopleSoft and google products.

This is a regular, exempt, 40 hour per week position. Will include occasional weekend or evening work.

Salary: Commensurate with experience
