This position supports the academic development of students and their activities at the undergraduate level as they explore their God-given gifts as young artists. In addition, this position will mentor student workers preparing them to become servant-minded leaders in their chosen professions.

Duties

  • Coordinate all divisional events including but not limited to concerts, recitals, master classes, and meetings​ ​using 25Live. Coordinate event details with multiple internal and external departments. Assist/maintain several calendars for all Fine Arts activities.
  • Schedule event related requests in 25Live and other internal calendars. 
  • Create/maintain internal event sheets. Communicate event details to other staff members as needed. ​
  • Update Fine Arts Website contact info, faculty adjunct bios, audition and admission deadlines, faculty web pages, and Seaver Fine Arts pages. ​
  • Assist/maintain tasks assigned by the Office Manager. ​
  • Coordinate the duties of Raitt Recital Hall​ ​and Production student workers.
  • Coordinate Lindhurst Load-In scheduling through 25Live. ​
  • Schedule/manage: piano watering, piano tuning, syllabi collection, CV collection, hiring instruction tracking, and teaching schedule tracking.
  • Support faculty, staff, and students.
  • Perform other duties as assigned.
  • Uphold University mission through work performed.

Skills and Qualifications

Required: Bachelor degree. Strong communication skills. Excellent writing and editing skills. Strong personal presence when communicating via phone and email. Multitask and focus in a very hectic environment. Qualified individuals should be able to articulate a strong commitment to diversity, and have the ability to work effectively with individuals from different backgrounds and management styles. Candidates who have mastered the ability to plan, schedule, review, and manage tasks are essential in this high paced environment. Developed organizational skills demonstrating the ability to coordinate tasks in multiple spaces. Ability to exhibit a calm and professional attitude in the midst of performance-based events. Proficiency in both written and oral communication. Able to follow directions and implement procedures thoroughly and efficiently. Interpersonal skills, positive attitude, and ability to use good judgment. The ability to schedule follow up and maintenance of all event-related forms. Keep your supervisor informed of steps and final results. Intermediate skills in Microsoft Office, Adobe, Word, Excel. Proficient in Google email, calendar, Google Docs, Google Sheets, and Google Drive, IBM-compatible computer system, Macintosh computer system, multi-line telephone system including voice-mail; as well a proficient with office equipment such as photocopier, fax machines, laser printer, scanning, laminating, labeling, word processing systems.

Preferred: Six years’ experience as an administrative assistant in an office setting. Use and proficiency of 25Live. Use and proficiency of Kronos. Use and proficiency of PeopleSoft. Use and proficiency of Sharp copying systems. Creation of Adobe e-sign documents. Candidates with People Soft System knowledge in the financial and student modules. Aptitude for quickly learning new software and computer systems such as E-Sign, ADP, College Net, etc. Knowledge of social media programs. Ability to use media/presentation equipment preferred.

This is a regular, non-exempt, 40 hour per week position.

Salary: $14.50-$16.50 per hour
