The Executive Assistant will assist in the day-to-day administrative and clerical work essential for the smooth operation of the Chief Business Officer.   • General office support: Process vendor payments, credit card billing, recharge forms, and reconciliations; administer files; greet visitors; formulate and maintain spreadsheets and databases; interface with departments and outside vendors; assist with special projects as needed.
  • Calendar: Responsible for heavy calendar management, requiring interaction with both internal and external executives and assistants, as well as consultants, to coordinate a variety of complex executive meetings; maintain a recurring administrative calendar and coordinate timing of action items for time-sensitive projects; coordinate travel arrangements; coordinate lunches, meetings, and events.
  • Communication: Provide first level of service on the phones and handling inquiries and directing all incoming calls to the appropriate party promptly and efficiently; compose correspondence and develop, review and edit presentations; review incoming mail.
  • Office support to team and office suite: Maintain office supplies, equipment, and break room. Provide administrative support to the Chief Business Officer, Executive Vice President, Vice President for Administration, and the Associate Vice President for Governmental and Regulatory Affairs; provide support for other staff, including the administrative team, as requested; support the front desk by providing coverage on an as-needed basis, contributing as needed, to the overall smooth functioning of the office.

Skills and Qualifications

Required: Bachelor's degree. Strong interpersonal communication and administrative support skills. Strong computer skills, preferably Mac based. Ability to organize, prioritize, and perform work while under pressure. Ability to proactively address issues and take initiative and ownership of projects, and maintain confidentiality of highly sensitive matters. Ability to routinely and independently exercise sound judgment in making decisions. Ability to work effectively with University administrators, Regents, faculty, staff, students, vendors, attorneys, and government officials. The ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks. This person must be exceedingly well organized, flexible, and enjoy the administrative challenges of supporting an office with diverse projects and priorities. The ability to interact with staff (at all levels) in a fast-paced environment, sometimes under pressure, remaining proactive, resourceful, and efficient, with a high level of professionalism and confidentiality is crucial to this role. This position must utilize problem-solving skills on a myriad of levels, from rearranging complex schedules to revising and refining existing policies. It is vital for this candidate to assess the status quo and the desired final product, then create an appropriate action plan. Advanced written and verbal communication skills, strong decision making ability, and attention to detail are equally important. This position will also support the Office of the Executive Vice President, the Office of the Vice President for Administration, and the Office of Governmental and Regulatory Affairs.

Preferred: Experience as office manager, executive assistant, or administrative assistant.

Salary: Commensurate with experience
