The receptionist is an essential member of Pepperdine University’s Graziadio Business School, responsible for helping to create a welcoming, caring and positive environment that promotes community rooted in the Christian tradition where lives are strengthened for purpose, service and leadership.

As the face and first point of contact to persons visiting the West LA campus both inside and outside of the Graziadio community, the receptionist must apply organizational familiarity and demonstrate a high degree of professionalism, warmth and customer service at all times, while responding promptly and effectively to multiple tasks with necessary discretion.


  • Ensure that a professional presence is maintained in the reception area where visitors, students, staff and faculty are welcomed with warmth and courtesy; all inquiries are confidently answered; and all calls are routed efficiently.
  • Manage the supplies for the West LA common staff areas, ensuring that each area is stocked with copy paper, snacks and office supplies. Ensure that all breakrooms and refrigerators are clean, along with maintaining and stocking the area on a daily basis.
  • Support operations in Administration by receiving the orders for approved purchases of supplies, equipment and furniture with prompt notification to supervisor of deliveries.
  • Under direction of the Operations Manager, provide support to projects across the school including word processing, data entry, etc.
  • Assist with new requisition entry and vendor payments, along with reallocating and substantiating credit card statements.
  • Coordinate the receipt and timely distribution of incoming mail to all faculty, staff and other graduate campuses.
  • Coordinate department monthly meetings with ordering food and reserving the meeting space.
  • Perform other duties as assigned.

Skills and Qualifications

Required: High school diploma. One (1) year receptionist experience. Exhibit excellent oral and written communication skills with exceptional telephone etiquette and presence. Strong organizational skills, adapt quickly to changing requirements and demonstrate the ability to function effectively in a team environment. PC literate with proficiency in MS Office programs (WORD, EXCEL, and Outlook); proficiency in working with Internet browsers i.e. Google, Firefox and IE; and proficiency in Adobe Acrobat. Copier and fax machines.

Preferred: AA degree or Bachelor's Degree. 2-4 years in a moderately busy environment. Ability to remember names and associate with faces and departments. Keen interest in learning about the school, its place in the University, and associated departments and functions. Experience with PeopleSoft and Kronos.
