The coordinator position provides managerial and administrative leadership to ensure the effective administrative functioning of the Seaver College Dean's Office while fostering collaboration, communication, and synergistic performance between the Seaver Dean's Office and the College's eight academic divisions. The coordinator advances the University's mission and strategic plan ensuring that administrative responsibilities are performed both effectively and efficiently across Seaver College. Specifically, the coordinator has responsibilities for academic scheduling, course registration, academic catalog, faculty employment, coordinating the college's RTP process, supporting the college's eight academic divisions, record maintenance, and other administrative duties required in the Dean's Office. The coordinator will interact with faculty, staff, and division personnel in the performance of their duties and reports to the Senior Associate Dean of Seaver College.

Duties

  • Academic scheduling and registration, including, but not limited to: scheduling of courses; managing internship and other arranged courses; course registration process; room matrices; administer 25 Live schedule software for the college; monitor class enrollments and space utilization; PeopleSoft skills are critical for the performance of scheduling-related duties.
  • Faculty personnel-related responsibilities, including, but not limited to: faculty contracts; maintain personnel files and records (electronic and hard copy); background checks; workloads; employment status; online directory; Faculty Handbook; hiring and on-boarding; visas.
  • Support the Rank, Tenure, and Promotion and Fixed-Term Faculty committees and process through effective management of all candidate materials; support communication between the committees and the Dean's Office; facilitate correspondence between the Dean's and Provost's offices.
  • Plan and administer all activities associated with the the Seaver College Commencement Ceremony.
  • Serve as an effective leader and member of the Dean's Office administrative "team."
  • Support Dean's Office and Academic Divisional administrative staff; plan and coordinate regular administrative meetings for Dean's Office staff; participate in monthly meetings with divisional office managers.
  • Support the annual preparation of the College's Academic Catalog and Calendar; facilitate curricular actions between the Dean's Office and Seaver Academic Council.
  • Plan and execute events and retreats, especially the Seaver College Cabinet and Faculty Retreats.
  • Provide administrative support for Dean's Office functions, including, but not limited to: monitoring credit card usage; ordering office supplies; etc.
  • Perform other duties as assigned.
  • Uphold University mission through work performed.

Skills and Qualifications

Required: BA or BS degree; computer literacy; 5 years office experience; 3 years management or supervisory experience. Knowledge of Pepperdine; exceptional writing skills; able to maintain confidentiality; high degree of attention to details; ability to listen attentively; ability to work with a variety of people; public relations skills; ability to function under pressure; ability to work efficiently; overall concepts and applications; aptitude and willingness to learn; time and people management skills. Proficient in use of PC or Mac, Microsoft Office, copier, fax, and phone.

Preferred: Masters degree; PeopleSoft Student Records training; Knowledge of Pepperdine; 5 years of college or university office experience. PeopleSoft, Digication, Nolij, Courses by Sakai, InCopy, OmniUpdate, 25Live.
