This position provides comprehensive administrative support to the Senior Director of Technology, Digital Strategies, and Innovation and calls for a quick response time, attention to high priority matters, and the ability to manage sensitive and/or confidential issues. The incumbent will communicate professionally on behalf of all departments supervised by the Senior Director and interact on behalf of the Senior Director with other senior administrators, faculty, professional staff, and external constituents. Some knowledge of marketing, purchasing, enrollment, and higher education service offices is required.

Duties

  • Manage calendars; use judgement to prioritize and schedule meetings.
  • Schedule other meetings and events as necessary; coordinate logistics among multiple parties in a timely manner.
  • Initiate and coordinate all aspects (e.g. space, menu selection/catering, audio/visual, conference phone, agenda items, etc.) of regularly scheduled meetings and special events.
  • Review, follow through, track and ensure deadlines are met.
  • Maintain effective liaison and good rapport with the full University community at all levels.
  • Maintain inventory control, purchase processing, reconciling procurement card statements, maintaining appropriate financial records, and completing monthly budget reconciliation.
  • Assist in development of operational policies. Interpret policies and explain procedures relating to activities performed in the department/division.
  • Prepare reports and maintain adequate records.
  • Assist in compiling statistical data and preparing various written summaries concerning divisional/departmental activities.
  • Perform other duties as assigned.
  • Uphold University mission through work performed.

Skills and Qualifications

Required: Bachelor’s degree and/or 2-3 years of experience in managing executive calendars, taking meeting minutes, data entry, data gathering, and/or other related secretarial functions; demonstrated success in planning, anticipating needs, and multitasking; excellence in customer service, teamwork and support; demonstrated proficiency in MS Word, Excel, PowerPoint, Photoshop or comparable design program, and Google Suite; possession of person cell phone (mobile phone allowance is provided); travel as needed. 

Preferred: Experience serving in the capacity of Administrative Assistant for a higher education director; knowledge of cloud base storage.

This is a restricted, nonexempt, 40 hour per week position.

Salary: Commensurate with experience
