The Executive Assistant is the primary support for the Chief Financial Officer (CFO) and their team members. This person should use good judgment and discretion in providing direct administrative support and will serve as an integral part of the daily operations of the Finance Office.

The CFO oversees the Office of the Controller, General Accounting, Accounts Payable, Purchasing, Payroll, Systems, Credit and Accounts Receivable, Cashiers and Financial Planning.

Duties

  • Maintain the CFO's daily calendar, including all meeting scheduling and adjustments, exercising considerable discretion and judgment as to priorities and effective use of the executive's time.
  • Effectively handle complex scheduling situations with senior University leaders or Regents using tact, diplomacy and exemplary judgment.
  • Coordinate meeting logistics for meetings led by the CFO, including agenda development, meeting materials and distribution, attendance, room reservations and catering needs.
  • Manage the daily operations of the Finance office, primarily in the areas of processing invoices, purchasing of supplies, processing reimbursements, overseeing vehicle registrations, handling mail and maintaining the physical office space.
  • Handle calls and correspondence on behalf of the CFO's office, and represent the executive to internal and external constituencies.
  • Provide assistance in the compilation of materials needed for the committees of the Board of Regents staffed by the CFO and other key committees and governing boards.
  • Assemble meeting materials, ensuring the CFO is prepared at all times with all documents and presentations, pertinent information and/or statistics.
  • Coordinate travel arrangements at the request of the CFO.
  • Coordinate planning and logistics for major meetings and events hosted by the Office of the CFO, including those in which the executive is representing Pepperdine University to outside/peer organizations, meetings with key constituencies across campus, campus visits by Regents or other professional colleagues of the CFO as well as meetings and events focused on staff within the Finance team, social events and celebrations.
  • Support and facilitate major leadership recruitments within the Office of the CFO through skillful scheduling of campus visits and logistical oversight.
  • Track critical deadlines associated with board materials, documents requiring review and/or signature and meetings requiring advance preparation.
  • Collaborate with and support initiatives within the Administrative Services team, including partnering with other Executive Assistants for senior University leaders.
  • Perform other duties as assigned.

Skills and Qualifications

Required: High School Diploma required; A minimum of five years of progressively responsible administrative experience required.

Preferred: Bachelor's Degree preferred; Experience with other software applications (e.g., Outlook, Adobe Acrobat, PowerPoint, and Photoshop or the equivalent) preferred. A desire to serve at a faith-based university, with the mission of strengthening students for lives of purpose, service and leadership, is preferred.

This is a regular, exempt, 40 hour per week position.

Salary: Commensurate with experience
