The Executive Assistant will be responsible for general administrative support for the Executive Director of Real Estate, thereby directly impacting the level of service/response time to constituents.


  • Provide full, accurate, quality administrative support for the Executive Director of Real Estate in a timeframe that exceeds expectations.
  • Coordinate, prepare, scan, and track time sensitive documents and communications.
  • Track and schedule high priority transactions, initiatives, meetings, priorities, and deadlines.
  • Assist in the Executive Director's daily office functions, phone and general reception, and calendar management.
  • Greet all customers via communication channels in a professional and courteous manner with superior client service at all times.
  • Ensure confidentiality of all information.
  • Ensure the Executive Director of Real Estate's office is running smoothly and is kept clean, tidy, and well organized at all times
  • Provide Secondary Operations Support including office supplies purchasing, PeopleSoft requisitions, file creation and maintenance, and mail receiving and coordination. Maintain professional and comfortable office environment.
  • Perform other duties as assigned.

Skills and Qualifications

Required: Bachelor's degree or equivalent work experience; two years' administrative support demonstrating organizational skills and ability to work well with many different personalities; ability to work independently without supervision; ability to maintain confidentiality; ability to work courteously but effectively with constituents who seek immediate solutions; ability to maintain discretion when handling confidential information; highly detail oriented, organized, proactive, and articulate with a proven ability to work under pressure to meet multiple deadlines; superior customer service skills; ability to speak in a professional manner with high clarity and accuracy; excellent written, oral, and interpersonal communication skills; ability to take direction; highly proficient in MS Office- Outlook, Word, Excel, PowerPoint; knowledgeable in Mac and Apple devices, file sharing, mobile devices, PC, Mac, phones, scanning, copiers/printers, and fax machines.

Preferred: Customer service training, paralegal training or education; Real Estate or Property Management education or industry training preferred; administrative support experience in a law office, real estate, or property management setting; experience dealing with real estate sale, leasing, finance, property/association management, and construction contracts.

This is a regular, exempt, 40 hour per week position.

Salary: Commensurate with experience
