The Administrative Services Coordinator is to represent Pepperdine to visiting guests; provide administrative support for Human Resources and the Office of Insurance & Risk; provide guidance for all incoming calls; and continually provide superior customer service to the Pepperdine community.


  • Provide front line customer service to visitors. Ability to react and make quick decisions. Answer incoming calls for HR and OIR. Forward and announce calls to the appropriate party or department. Utilize HR systems to assist with inquiries (PageUp).
  • Coordinate training program logistics and format, including the oversight of event registration, room set- up, catering requests, and development and production of printed materials and resources for training programs. Manage HR's electronic communications to Pepperdine community.
  • Assist scheduling of the Lamb and HR conference rooms. Confirm all conference room doors are locked at end of day. Schedule meetings using Google Calendar and reserve conference rooms using 25Live.
  • Maintain University's faculty and staff online directory.
  • Receive requests and set up ergonomic evaluations for employees. Coordinate appointments with outside specialist.
  • Maintain HR attendance calendar and send daily "in & out" to all staff members. Order office supplies.
  • Perform other duties as assigned.
  • Uphold University mission through work performed.

Skills and Qualifications

Required: Associate’s Degree; job-related experience using a multi-line phone system; computer skills, including Google Drive and Google Mail; experience with complex databases; general office and administrative experience; job related experience using a multi-line phone system; ability to multi-task and handle heavy visitor and phone traffic; excellent customer service, organizational, verbal and written communication skills; thorough knowledge of Google Drive, Excel, and Word; ability to exemplify Pepperdine mission through work, and alignment with that mission; ability to operate standard office equipment (computer, fax, telephone, printer); experience with Google Drive, Excel, and Word.

Preferred: Experience with Cisco phone systems; experience with PeopleSoft; work experience as a receptionist or administrative assistant; familiarity with Pepperdine University; bilingual English/Spanish; some experience with PeopleSoft and Etrieve.
