The Director, Pepperdine Associates Program is responsible for all mailings, generating annual gift reminders, reports, and membership information associated with annual donors who are part of the Pepperdine Associates Program. The Associates Program is highly individualized and requires one central office to produce monthly gift reminders while working with prospect managers from across the five schools and athletics to ensure accuracy. Working with the Annual Gift, Major Gift, and Principal Gift Officers, the Director, Pepperdine Associates Program helps them secure and retain annual donors from $1,000 to $50,000 for the University through the Associates Program. This position is also responsible for coordinating member benefits, and the recognition of annual donors through plaques, the donor recognition wall, Associates events and special opportunities, and the title list in the Pepperdine Associates Dinner Program. The Director, Pepperdine Associates Program will also work closely with the Pepperdine Associates Dinner planning committee to coordinate and produce the annual dinner. The success of our mission to strengthen lives for purpose, service, and leadership depends in a large part on strong financial support from donors who enable us to provide the facilities and opportunities necessary to provide stellar, mission driven programs for our students.

Duties

  • Maintain accurate donor information by monitoring, and updating, as needed, all Associate records on Raiser's Edge. Process new members and their gifts by reviewing gift donation summary material and then sending information to Advancement Gifts and Records to update their records on Raiser's Edge to reflect the Associate status. Produce monthly Associate gift reminders, providing them to the prospect managers with appropriate letters for mailing. This process involves analyzing amounts due and making corrections and adjustments to memberships, as needed. Drop Associates when appropriate (take off Pepperdine Associate code on Raiser's Edge and make sure that membership is dropped).
  • Attend monthly AGO/MGO meetings; and Advancement meetings with each school/unit, as needed; to discuss the Associates Program, plan strategy to grow the Associates donor base, and provide updated reports. Coordinate and lead the annual Associates competition for fundraisers leading up to the Associates dinner. Partner with Alumni Affairs, Alumni Relations at the various Pepperdine Schools, Crest, and others to plan and produce special VIP opportunities for Associates at their events. Plan and produce several events per year, specifically for Associates or subgroups like Faculty/Staff Associates, to gather them together for a special event, and thank them for their annual support. Monitor Pepperdine Associates generic email address and manage Associate RSVP's. Partner with the Pepperdine Fund and unit based fundraisers to develop strategy and narrative to educate, acquire, incentivize, and steward student and recent graduate Associates and further develop alumni participation.
  • Produce monthly reports to distribute to fundraisers and deans including University-wide Associates summary as well as school/unit specific reports on Associate donors and dollars. Run and distribute monthly lapsed and dropped Associates lists for each prospect manager. Run "Associates with no Prospect Manager" lists on a monthly basis for prospect assignment.
  • Produce the title list for Pepperdine Associates Dinner Program which includes sending out title card information to all Associates several months ahead of working on the dinner program. Coordinate sponsorship asks for the dinner with all fundraisers and track dinner sponsors. Work with the dinner committee to plan a special perk/benefit for Pepperdine Associates attending the dinner.
  • Once gifts have been processed, proof and review thank you letters and receipts. Check for accuracy of membership data on Raiser's Edge including expiration dates. Make sure letters get signed and sent out. Order and mail plaques, channel plates, and year tabs. Update donor recognition wall with channel plates.
  • Other duties as assigned.

Skills and Qualifications

Required: A bachelor’s degree and three or more years in detail oriented, multiple project based positions requiring prioritization and sound judgment. Proven ability to multi-task and complete tasks in an organized and detailed manner. Event management experience. Excellent oral and written communication skills, persuasion and presentation skills. Good at negotiating “win-win” agreements at all levels. The ability to communicate effectively with a wide range of constituents including donors, alumni, parents, students, friends, University administrators, and others. Strong interpersonal skills as well as a high level of sophistication and maturity in social and professional settings. A general level of comfort dealing with high net worth individuals, an ability to maintain discretion and a high level of confidentiality when dealing with sensitive internal matters and with significant donors and benefactors. Ability to create strong relationships with fundraisers and other advancement departments to work collaboratively. Adept at forging alliances. Ability to effectively communicate the vision, mission, and core values of Pepperdine University. Demonstrated ability to communicate the impact of donations and the Associates Program. Curiosity and analytical thinking; global perspective; ability to anticipate problems – and then solve them; ability to organize, prioritize, and complete multiple projects simultaneously with close attention to detail; meet deadlines; and work in a fast-paced environment. Extensive knowledge of analytical and metrics reporting is required, with experience using and tracking fundraising metrics and analyzing results. Strong organizational skills and a high level of accountability to performance metrics. Ability to successfully manage a budget. Demonstrated computer competency with knowledge of Microsoft Office products, telephone, cell phone, FAX, optical scanner, copiers, and standard office equipment.

Preferred: A master’s degree and two or more years working with a donor recognition program or annual giving program. An individual with outstanding professional qualities who models collaboration, has organizational sensitivity to build support, confidence, and consensus from all facets of the Pepperdine community. Experience with Google Mail, Google Docs, Sheets, and Calendars, Raiser’s Edge, Sales Force, Fonteva, Etrieve, and C2C PeopleSoft.
