The basic purpose of this position is to provide administrative support to the office of the associate dean of Psychology at GSEP. Strong administrative support contributes to the mission and strategic plan by contributing to a robust and efficient learning community focused on preparing students for lives of purpose, service, and leadership.


  • Assist the Assistant to the Associate Dean in providing support to the Associate Dean, and the Psychology Division's faculty, staff, and administration; arrange meetings; serve as a contact during the absence of the Senior Assistant of the Associate Dean.
  • Prepare faculty contracts three times per year, prepare, track, and audit faculty expense reports and divisional expenses, including preparation of requisitions and reimbursements; arrange, track, and audit travel plans and expenses as requested.
  • Input and maintain course schedules on the mainframe each trimester, confirm class assignments with faculty, and distribute any changes in the schedule to appropriate staff; prepare and monitor adjunct faculty contracts and payroll; maintain current files for adjunct faculty, includes: W-4, and payroll authorization.
  • Assist with supervision and scheduling of Psychology Graduate Assistants; proctor for Office of Student Accessibility students, work with the Academic Advisors.
  • Perform other duties as assigned.
  • Participate in GSEP's annual commencement; participate in Psychology new student orientation three times per year on three graduate campuses.
  • Uphold University mission through work performed.

Skills and Qualifications

Required: Associates degree; prior Administrative Assistant experience; ability to sustain productive, mutually respectful, and collaborative interpersonal working relationships with administrators, faculty, staff, and students; ability to work independently and take initiative; excellent oral and written communication skills to interact cooperatively and effectively with all GSEP constituencies; skill in prioritizing assignments and meeting deadlines in an environment with fluctuating demands, frequent interruptions, and multiple priorities; ability to type 50 WPM; strong customer service orientation; ability to maintain confidentiality of files; skill in proofreading and editing documents for correct spelling, grammar, punctuation and format; excellent organizational skills and consistent follow-through to completion of projects and tasks; ability to work in a team environment; proficient with basic functions of a Mac or PC, printer/copier/scanner, email, and phone/voicemail systems.

Preferred: Bachelors degree; two years of prior Administrative Assistant experience, preferably in a higher education setting; familiarity with Peoplesoft or university systems; proficient in the Google Suite and Microsoft Office Suite.
