The Faculty Support Specialist provides the highest level of administrative support and customer service for 30+ full-time faculty, 20+ part-time and adjunct faculty, 600+ law students, and  60+ academic law school classes per semester. This position also assists in coordinating all midterm and final exams for the Malibu, Washington DC, and London campuses, and supports faculty writing and other projects which enhance the law school's reputation.


  • Proofread and prepare midterm and final exams. Maintain high security of exams while processing. Proctor midterm exams. Prepare essay answers and multiple choice reports for professors to grade.
  • Recruit, schedule, confirm, and train student proctors for final examinations, ensuring all proctors follow procedures and report honor code violations.
  • Prepare and submit Faculty Expense reports and Purchase Requisitions related to Faculty Recruitment, Faculty Programming, and Faculty Development Travel. PeopleSoft experience or training required to properly document, file and submit to Pepperdine Accounting for Faculty reimbursement. 
  • Maintain faculty files, both paper and electronic, and assist faculty with various projects and course materials, including but not limited to typing, proofing, and editing legal documents such as pleadings, wills, briefs, law journal articles, manuscripts, books, and class materials).
  • Manage processes of three primary law journals, coordinating with the annual editing staffs of each journal, maintain oversight of printing and subscription services, pay invoices, and deposit royalty checks
  • Greet students, faculty and visitors who enter our office and troubleshoot with any faculty technical issues.
  • Perform other duties as assigned.

Skills and Qualifications

Required: Excellent written and oral communication, interpersonal and relationship skills. Excellent proofreading skills working with books, articles, letters, etc. Excellent organizational skills and the ability to prioritize a large volume of tasks and materials. Strong grammar and proofreading skills. Good interpersonal and public relations skills working with senior lawyers and judges. PC literate with Microsoft Office (Word, Excel & PowerPoint) at an intermediate level. Typing 60-65 wpm. Use of copier, printer, scanner, fax machine, multi-line phone.

Preferred: Bachelor's degree and/or experience working at an academic institution preferred. One year legal secretarial experience. Experience working with senior management executives or lawyers and judges preferred. Experience with PeopleSoft program preferred.
