The Office Manager, Insurance oversees the daily operations of the department to assist in maintaining a safe and healthy environment for the campus community. Duties include working with the university insurance portfolio, maintaining the driver database and fleet roster, and providing high quality customer service. This position collaborates regularly with the internal constituents across the University and external constituents. The manager is supervised by the Insurance Director.


  • Input and manage safety trainings in the University Learning Management System (LMS) under the direction of the Insurance Director.
  • Support the Insurance Director in managing the University's insurance portfolio.
  • Consistently show attention to detail, particularly in regards to working with systems and insurance specifications.
  • Provide assistance with transactional paperwork for certificates of insurance for the institution.
  • Manage the University's approved drivers including: administering the approval process, requesting and reviewing Motor Vehicle Reports from the DMV, approving individuals to drive, auditing the database, and appropriately notifying the Insurance Director when employees are no longer permitted to drive.
  • Serve as Critical Support Personnel for Pepperdine's Emergency Operations Committee in the case of emergencies.
  • Manage the office's student workers including: training, supervising, and mentoring them to help prepare them for work in professional offices post graduation.
  • Promptly and professionally address and manage concerns from stakeholders across the university.
  • Formulate and maintain spreadsheets and databases.
  • Complete research projects as assigned.
  • Demonstrate excellent communication skills both written (emails, reports, etc.) and verbal (on the phone, in person, etc.).
  • Organize and maintain files in a timely manner. 
  • Process vendor payments, credit card billing, and reconciliations.
  • Manage the calendar of the Insurance Director; schedule and coordinate meetings and events.
  • Maintain office supplies.
  • Perform other duties as assigned.

Skills and Qualifications

Required: High School Diploma; Ability to manage several projects in parallel, particular attention to detail; Outstanding interpersonal, communication, and organizational skills; Ability to meet required deadlines; Ability to consistently project a professional demeanor and a positive attitude; Ability to maintain confidentiality; Flexible; Must maintain a safe driving record.

Preferred: Bachelor’s Degree; Familiarity with Pepperdine systems and culture; Knowledge of PeopleSoft; Ability to use Google suite programs.

This is a Regular, Exempt, 40 hour per week position.

Salary: Commensurate with experience.
