Reporting to the Assistant Provost for Research, the Research & Communication Coordinator is the point of contact for day-to-day office logistics for the Office of Research & Sponsored Programs, including managing correspondence with faculty, staff, and students who have been awarded internal research grants, and is responsible for the organization, entry, and retrieval of proposal data relevant to sponsored programs and government agencies awards received by Pepperdine University. This position supports the University's strategic plan by promoting continued interest in research.

Duties

  • Support for internal research programs: Manage applications, award notifications, and post-award spending for internal research programs (e.g. Endowments, Dean's Research Grants, Community-Based Research Program, Harris Manchester College Summer Research Institute, Summer Undergraduate Research Program, etc.).
  • Support for sponsored projects: Manage sponsored projects proposal and agency data in PeopleSoft, maintain electronic and hard copy files for pre- and post-award; compile proposal data for reporting and run queries in PeopleSoft and NOLIJ; maintain proposal spreadsheet.
  • Assist with planning, organization, and execution of Assistant Provost for Research events, including the annual Seaver College research symposium, Waves of Innovation Talks, grant writing workshops, etc.
  • Design and create invitations and public content; assist with the design and preparation of presentations; main office websites; create and edit departmental documents; monitor departmental email.
  • Provide administrative support for the two Pepperdine Institutional Review Board (IRB) committees.
  • Provide high-level administrative support to the Assistant Provost for Research (calendar management, scheduling, travel, etc.) and perform general office duties including filing, signature retrieval, faxing, copying, fielding phone calls and walk-ins; order and maintain supplies; collect and transmit meeting notes; reconcile monthly credit card statements; process expense reports and accounts receivables; deposit checks and track invoice payments.
  • Maintains confidentiality of sensitive information.
  • Performs other duties as assigned.

Skills and Qualifications

Required: Bachelor's degree; 3 years' office experience; experience in planning and executing events; highly motivated, enthusiastic, and strong interpersonal skills and professional manner; excellent writing, editing and communication skills; interest and ability to conduct research; ability to work independently and as part of a team; proven ability to multitask and capable of handling changing priorities under deadline while maintaining attention to detail; proficiency in Google Drive and Microsoft Office.

Preferred: Understanding of the higher education environment; experience in web design and maintenance (knowledge of OmniUpdate); graphic design experience (knowledge of Adobe Photoshop and Adobe InDesign); database management experience; experience with PeopleSoft, Kronos, and Google applications.
