The Communications and Programming Assistant provides clerical and administrative support for programming and public affairs activities in the Pepperdine University Libraries. This position supports the development and execution of lectures, events, exhibits, and other programming taking place in the Libraries, including setting up and breaking down events; assists with the creation of marketing materials for library-sponsored programs and services; assists with planning and scheduling content for the Pepperdine Libraries' print and web presence, including newsletter, blog, and website; manages strategy and creates content for the Pepperdine Libraries' social media channels; maintains event calendars on various channels for programming sponsored by the library; assists in correspondence with project partners, on-campus collaborators, and visitors through e-mail, in person, and on the phone; helps with tracking statistics related to programming and marketing; assists with overseeing student workers, as needed; and performs other duties as assigned. This position reports to the Director for Library Programming and Public Affairs. Most events take place during working hours, Monday-Friday. Occasional evening or weekend hours may be required.

Duties

  • Assisting with the full life cycle of event planning and programming at the Pepperdine Libraries, including marketing, attendee registration, setup, and post-event statistical tracking.
  • Supporting the content creation workflow for the Pepperdine Libraries social media, web presence, print communications, and e-mail newsletter.
  • Collaborating with other on-campus units and outside community partners to coordinate library events and other special projects.
  • Overseeing student workers, as needed.
  • Maintaining the Pepperdine Libraries events calendar and sending regular updates to university and community outlets.
  • Managing room booking and event requests.
  • Upholding University mission through work performed.
  • Performing other duties as required.

Skills and Qualifications

Required: Bachelor's Degree; Reliable and detail-oriented; Efficient and organized, with the ability to prioritize effectively in a busy environment; Strong interpersonal relationship skills; Excellent communicator in person, on the phone, and in writing; Able to handle confidential information with a high level of discretion and prudence; Ability to lift and carry at least 20 lbs., use stairs and assist with event-related setup.

Preferred: Web, graphic design, marketing, social media, or administrative experience a plus; Proficient knowledge of Microsoft Office programs, particularly Word and Excel, Google Office Suite, internet and email.
