Reporting to the Senior Director of Technology, Digitial Initiatives & Innovation, the Assistant Director of Enrollment and Admissions provides important insights and recommendations for achieving annual enrollment goals, as well as overseeing data integrity and business processes. This position is responsible for managing the workflow of the enrollment and processing team and contributes to the University’s strategic plan by ensuring the University stays up to date in the knowledge and use of multiple data systems, including but not limited to PeopleSoft, data imaging systems, and online application system. This role utilizes the CRM database (Salesforce, Marketing Cloud, Lightning, PeopleSoft, eTrieve, CollegeNet and other associated higher education technology applications) to track leads and contacts individuals who have indicated an interest in the assigned programs. This position creates and coordinates communication among students regarding admission status and performs process audits on student enrollment processes to ensure matriculation. The role also collaborates with the Manager of Digital Marketing and Business Analysts.


  • Supervises the Enrollment Services Officers and Processors. Approves time cards, provides insight, sets goals, completes annual assessments, enforces University and department policies. Managing the workflow of the admissions and processing team to meet deadlines as well as overseeing data integrity and business processes. Review the GSEP Admission application for updates and changes, when necessary or requested. Maintain the online admission application to ensure that it is kept up to date and when necessary, and work directly with the servicer to resolve issues.
  • Assist students through all aspects of the admissions process including the collection, evaluation, and distribution of documents and information related to their admissions file. Provide informational materials and counseling services for prospective students. Maintain telephone and electronic contact and initiate correspondence with prospective students, including appropriate and consistent follow -up. Consistently conduct follow -up meetings, monthly at a minimum, with all applicants to ensure successful matriculation.
  • Participate in recruitment travel, representing the University at graduate and career fairs and conducting on-site presentations for prospective students and/or advisors. Participate in on-campus outreach events. Manage inquiries to achieve prompt contact; utilize approved recruitment policies/formats.
  • Track students' admission statuses and maintain correspondence with applicants regarding incomplete files, status, and confirmation letters for enrollment deferrals. Generate and coordinate mailing and email communication of admission status letters and internal distribution of admission information. Process admitted students in the systems, perform quality control by verifying official documents; respond to standout inquirers regarding admission application process and status. Input and maintain international student data and ensure compliance with regulations; communicate regularly with the Office of International Students.
  • Coordinate the "Intent to Enroll" process, including creating and tracking "Intent to Enroll" forms and deposits, accompanied by the necessary reporting. Collect and input test scores. Receive application fees and submit them to the Budget and Research Office. Maintain student files and transfer files to Registrar's Office as scheduled.
  • Represent GSEP at conferences, alumni conferences, and other functions as it pertains to the Enrollment Management Plan. Conduct informational campus sessions and visits for prospective students and their guests.
  • Works in sync with the marketing department, sharing feedback on the quality of leads by outreach effort and making plan/program suggestions, as appropriate.
  • Create reports from PeopleSoft or other systems as needed or required; manage email responses; set-up and distribution of online application systems.
  • Perform other duties as assigned.

Skills and Qualifications

Required: Master Degree Business Administration Well-versed in MS Word, Excel, PowerPoint, and Google Suite. Knowledge of cloud base storage, CRM systems (i.e. Salesforce) and integrated educational systems (i.e.PeopleSoft). Personal cell phone is required; Mobile phone allowance is provided. Professional demeanor; travel is required as needed.

Preferred: 3 years in higher education admissions and recruitment Demonstrated success in reaching targeted enrollment goals, executing recruitment plans and closing. Exhibits excellence in customer service, teamwork and leadership.

Salary: Commensurate with experience.
