The Contact Tracer will work closely with students, staff, and faculty of Pepperdine University to centralize information from various departments, individuals, and medical professionals (both at the Student Health Center and private medical providers) to determine risk of COVID-19 infection, confirmation of COVID-19 infection, and need for and follow through on contact tracing, isolation, or quarantine of individuals. In addition, the Registered Nurse is a highly-skilled healthcare professional who coordinates and implements a variety of medical back office duties and procedures. The Registered Nurse is the first line support for the practitioner staff and performs nursing duties such as providing nursing, triage practitioner assistance, sample collection, patient follow-up, medication administration, collaboration, patient education, and emergency response. Under the direction of the Nursing Manager, this position will assist with the professional and efficient daily operation of the medical clinic’s back office and will assure that county, state, and federal medical office mandates are implemented in collaboration with the medical providers and staff.


  • Act as a Contract Tracer
    • Work closely with other RNs and designated staff on tracking, documenting, interviewing, following, educating, referring, and monitoring staff, faculty, and students in regard to coronavirus questions, concerns, exposures, and symptoms
    • For confirmed or presumed COVID-19 cases, determine isolation needs and educate about isolation guidelines and perform contact tracing to determine close contacts; inform close contacts of exposure and determine quarantine needs; educate close contacts of need for and guidelines for quarantine
    • Follow up on student and Pepperdine community quarantine and isolation cases and refer to medical care as needed
    • Liaison with other campus departments and with SHC medical director and clinic director to support exposed or symptomatic Pepperdine community individuals
  • Perform Routine Back Office Medical Procedures
    • Serve as a triage nurse seeking assistance from other staff when required; evaluate the needs of the students presenting as emergencies, walk-ins, or on the telephone and provide follow-up as needed
    • Provide first aid and evaluate routine episodic problems not needing physician or physician assistant attention, seeking medical input as needed
    • Instruct and prepare patients for examination and diagnostic procedures
    • Assist in examination and special procedures, including minor surgery, orthopedic applications, centrifuging, autoclaving, and other special studies/tasks
    • Perform nursing duties to include procedures such as phlebotomy, injections, ear lavage, bandaging, splinting, etc.
    • Assure reliance of in-house test procedures and adequate handling/processing of lab specimens to be sent to outside lab
    • Assist in mass vaccine clinics or mass testing clinics, which may involve travel to other sites in Southern California
    • Manage dispensary, including ordering, stocking, monitoring expiration dates, and reconciling cost factors of all medications; responsible for properly disposing of expired drugs and researching new product availability and pricing; advises front office of any changes in products, costs, etc.
    • Delivers pre-packaged, labeled, and properly identified medications to patients on a patient-specific order and reviews dosage, side effects, etc.
    • Tracks and advises patients of lab/study results after the appropriate medical practitioner approval and advice
    • Supervises and works with other back office employees such as MAs and other part-time RNs and assists in recruitment of nurses and other back office personnel as requested by Nursing Manager or other staff members; assist in training of on-call nursing staff
    • Responsible for specific tasks and messages in the EHR and for team member not working for the day(s)
  • Facilitate Proper Maintenance of Back Office Medical Clinic
    • Responsible for the cleanliness of surgical equipment, special instruments, and the exam linens
    • Assure exam rooms are well-stocked, equipment is functional, and maintain a professional appearance
    • Maintain back office inventory, including pharmaceutical, back office supplies, emergency preparedness supplies, and ancillary items; act as a liaison to Quest Diagnostic laboratory
    • Update any changes in prices of medicine, vaccines, and supplies in cooperation with staff as needed
  •  Provide Health Education and Implement Health-Related Programs
    • Assist in the referral process and patient education
      • Advise patients of needed routine and/or additional examinations, lab work, or studies
      • Maintain accurate and updated patient education handouts
      • Provide health education and appropriate immunizations and prophylaxis for the Travel Medicine Program for new/returning students
      • Coordinate and provide first aid and triage services for Pepperdine guests
      • In collaboration with SHC team members, organize annual training for CPR, first aid, AED, and Bloodborne Pathogens; assure appropriate documentation of attendance
      • Oversee free STI testing, including patient education, handouts, and test results; conduct learning outcome survey; provide program cost analysis
      • Monitor lab work and special Quality Assurance/Improvement studies as requested
      • Assist with patient-specific medical case/compliance manager based on HIPAA standards and act as a liaison between student/physician/parents
  • Other Duties as Assigned
    • Supervise all back office medical personal, including registered nurses and medical assistants; assist personnel in adhering to policies and procedures; and maintain government regulations in maintenance of back office laboratory and machinery
    • Attend a variety of professional meetings as a representative of the Student Health Center; maintain current knowledge of nursing best practices
    • Serve as a member of campus committees as designated
    • Assures the protection of self, patients, and coworkers from undue exposure to contaminated waste and hazardous materials; performs training for new employees on back office procedures as requested
    • Cross trains with front office duties to ensure a working knowledge of front office systems
    • Maintains education consistent with California Board of Registered Nursing and participates in in-house education programs
    • Assist Clinic Director and Risk Management in the ongoing process of preparing the University for various emergency scenarios; serve on the Residential Emergency Response Team (RERT) and SHC Emergency Response Team, and if safe to do so and necessary, provide assistance overnight

Skills and Qualifications

Required: RN graduate of an accredited school of nursing; Valid California Board of Registered Nursing license; CPR, Automated External Defibrillator (AED), and first aid certification; Working knowledge of Electronic Health Records (EHR) system and its functionality; Nursing and case management theory and practice including nursing protocols, medical procedures, patient history, and charting procedures; Initiate medical treatment under medical supervision and standing orders; Effectively communicate technical, medical information into an understandable format for patient care; Organize and coordinate patient load with emphasis on efficiency, decreasing patient wait time while maintaining excellent patient care; Exercise cultural competency and respectful consideration in a student population representing diverse cultures; Maintain professionalism, good judgment sense, and confidentiality; Ability to interact with a variety of people both in-person and on the telephone, especially in regard to ill or injured students, their parents, faculty, and staff; Excellent interpersonal, oral, and written communication skills; Excellent organization and time management skills; Communicate in a warm, caring, and respectful manner with patients, coworkers, and administrators; listens effectively and responds with behavior conducive to good public relations; Ability to work in a fast-paced setting with multiple demands that often occur at the same time; Understand and follow guidelines of HIPAA policy for patient confidentiality; Perform all of the above with a sense of compassion toward students and coworkers in concurrence with the University, Student Affairs, and Student Health Center missions.

Preferred: Academic degree in nursing (bachelor's or master’s degree); Community Emergency Response Team (CERT) certification.
