The Employment Specialist is responsible for managing data integrity in all HR systems through routine auditing, tracking, reporting, and maintenance, with a focus on faculty onboarding and contract management. Reporting to the Manager of Employment and Total Compensation, this role requires strong attention to detail paired with the ability to think critically and strategically to support the mission of Pepperdine University and the vision of Human Resources.


  • Process faculty contracts through the custom PeopleSoft HCM module and serve as the primary point of contact for department contract originators.
  • Partner with contract originators on faculty onboarding process. Communicate with new faculty on pre-employment requirements, including completion of new hire paperwork, background check, and Form I-9. Enter data into PeopleSoft HCM module.
  • Manage staff and full-time faculty separation process, including communication with separating employee and supervisor about offboarding responsibilities and communication with Payroll Office to ensure accuracy and timely delivery of final paycheck.
  • Assist with employment-related payroll procedures, including processing of manual time sheets, ensuring proper completion of retroactive payment forms, and ensuring integrity of all employee job data.
  • Work collaboratively with the employment team to provide superior customer service to hiring managers engaged in the staff recruitment process, assisting them with position descriptions, job postings, advertisements, applicant communications, offers of employment, etc.
  • Respond to unemployment insurance claims, providing information to third-party vendor in timely manner.
  • Verify employee eligibility for tuition remission benefits.
  • Perform other duties as assigned.
  • Uphold University mission through work performed.

Skills and Qualifications

Required: Bachelor's degree or equivalent experience. 1-2 years experience with systems and data processing. Strong written and oral communication skills, strong customer service and interpersonal skills, ability to use discretion when handling sensitive and confidential information, ability to organize and prioritize changing workload, must dress professionally, supportive of the Christian mission of the University and the ability to integrate faith with HR practice. Proficient with Microsoft Word and Excel; proficient with Google Suite.

Preferred: Previous database experience and advanced Microsoft Excel skills strongly preferred. Experience in higher education or a non-profit environment strongly preferred.

This is a Regular, Nonexempt, 40 hour per week position.

Salary: $49,000-$53,000
