The primary role of the Gift Coordinator is to receive gifts given to the University, make deposits, charge credit cards, keep records and scan gifts into the optical imaging system. Advancement oversees relationships between Pepperdine and its students, alumni, parents, and friends. The Gift Coordinator must maintain positive relationships with both the internal audience and external audience. This position also plays a role in ensuring that gifts are processed in a timely, accurate manner and that gifts are accessible to staff through the optical imaging system. This position requires accuracy to maintain the integrity and high standards of the University.


  • Prepare all incoming gifts for processing in compliance with standard auditing requirements, review all gifts-in-kind, checks and gift backup for possible inconsistencies; date stamp gifts; review completeness of gifts, deposit checks, charge credit cards, make appropriate copies for distribution, sort gifts according to solicitation for gift entry; accurately add gifts in batches & complete departmental deposit forms in CASHNET.
  • Scan and maintain all donor related documents and files via the optical imaging system. Confirm that all scanned documents have been properly uploaded. Maintain gift files, arrange for pick-up of gifts from storage vendor, maintain records of deposits and shred on a regular schedule. Oversee student workers with scanning duties.
  • Proof gift receipts and standard gift letters, distribute letters for signatures by the appropriate office.
  • Enter gifts into Raiser's Edge; evaluate and update bio/demographic information on constituent records.
  • Special projects. 
  • Perform other duties as assigned.
  • Uphold University mission through work performed.

Skills and Qualifications

Required: AA degree or equivalent classes and work experience; experience working in a database environment strongly desired. Must use g-mail, google calendar, and have a professional demeanor. Ability to perform miscellaneous accounting functions, good math skills, ability to work independently, and stay calm and focused during periods of high gift volume. Attention to detail is critical; excellent proofreading skills; ability to manage time while shifting priorities and pressure of deadlines; excellent interpersonal skills and problem-solving skills required. Proficiency in using an adding machine/calculator, credit card terminal, computer, photocopier, phone, scanner, shredder and printer; proficiency in Microsoft Word, mail merges, and Excel.

Preferred: Classes in business, bookkeeping and accounting; experience with Microsoft Office; six months of general office experience and knowledge of accounting principles; computer knowledge using word processing, spreadsheets and database programs. A self-starter who can easily function as a member of a team; ability to effectively facilitate a wide variety of requests for assistance; must have the capacity to organize and handle a range of responsibilities accurately and consistently. Experience with Raiser's Edge or RE NXT and experience with E-trieve or scanning experience.

This is a Regular, Nonexempt, 40 hour per week position.

Salary: Commensurate with experience.
