This position supports the Part-Time Programs Office's effective and efficient delivery of Online Programs at PGBS. This position coordinates and assists with various administrative and student support functions housed in the Part-Time Programs Office at Pepperdine Graziadio Business School. The Part-Time Programs Office is responsible for managing a diverse portfolio of graduate and undergraduate degree programs, designed for working professionals seeking a flexible and customizable educational experience. This particular position will be primarily dedicated to supporting the growing subset of programs delivered in the online format and the University’s mission to educate students for lives of purpose, service, and leadership.

Duties

  • Perform a range of administrative procedures associated with Online Programs student data management, including student registration setup, course enrollment and withdrawal, course scheduling reconciliation, and database management. Collaborate with the Student Systems team and other Part-Time Programs office team members.
  • Collect, process, and follow-up with appropriate departments on various and administrative requests submitted to the Program Office (e.g. course additions and withdrawals, term cancellations, transfer of credit, grade appeals/changes, tuition refunds, etc.).
  • Assist with and execute planning of academic and co-curricular activities managed by the Part-Time Program Office including campus residencies and student orientations. Coordinate classroom assignments and reservations, food and transportation needs, and communication materials. Communicate with PGBS stakeholders, including Student and Academic Affairs departments, faculty, and student advisors. Communicate with new students about Pepperdine University's history and PGBS graduate programs.
  • Manage regular and special communication initiatives for the Program Office, including maintenance of the Program Office Community Website, distribution of weekly e-Bulletin, dissemination of surveys, and other announcements to students, faculty, and staff.
  • Provide Program Office budget support by tracking resource allocation, processing requisitions and reimbursements, reconciling expenditures, and handling transactions with approved vendors.
  • Schedule and coordinate logistics for department meetings, retreats, and other events; serve as note-taker as requested.
  • Perform other duties as assigned.

Skills and Qualifications

Required: Bachelor's degree along with superb organizational skills, keen attention to detail, and the ability to work with a diverse student population. A strong customer service orientation, including a willingness to work in both a student-facing and administrative-facing role. Minimum two (2) years of experience supporting administrative functions in an academic environment. Basic familiarity with academic and budget cycles. Ability to develop and analyze methods for efficient workflow management in an academic setting. Basic understanding of budget and data management systems. Effective written and verbal communication skills. Strong time management, organizational and multi-tasking abilities. Strong PC skills and familiarity with Microsoft, Google, and Adobe office products. Typing 55+ WPM. Must possess advanced computer skills, including expertise with Microsoft Office and Google Office Suite. Must be able to use a copier, printer, scanner. Must have reliable transportation.

Preferred: Three (3) or more years of experience supporting academic programs in a fast-paced, high-volume setting. Prior experience with PeopleSoft, Salesforce or similar university information systems. Experience with computer-based student administration systems, particularly PeopleSoft. Knowledge of trends in the field of distance education, course management, social software, collaboration software, and learning objectives. Familiarity with budget preparation and credit card reallocation systems. Expertise with PeopleSoft, Google Docs, Zoom, Sakai, LMS software, and Microsoft Excel.
