Under the supervision of the Division Coordinator, the Administrative Assistant provides support on a broad range of tasks to the Psychology Division, Associate Dean, faculty, staff and administration in order to accomplish the functions, goals and objectives of the Psychology Division. Tasks and responsibilities are determined by division priorities. The primary focus of the position is to support administrative activities to ensure that the functions, goals and objectives of the office are accomplished and the Psychology Division faculty and Pepperdine University's GSEP are supported.


  • General Administrative Support: Ensure efficient operations within the Division.
  • Instructional Support: The Administrative Assistant works in close collaboration with the Division Coordinator to ensure the efficiency of the Division's instructional mission.
  • Class Scheduling: Input and maintain course schedules in PeopleSoft, coordinate schedule printing, maintain data, and generate reports.
  • Support Directors of Clinical Experience and Teacher Preparation program with hiring field supervisors, timesheet review, and master teacher payments.
  • Resource Center: Maintain appropriate database, obtain videos/films and distribute availability reports. Maintain check in/out system for all resources and coordinate equipment set up and usage.
  • Faculty Support: Assists with processing travel and expenses, requests for reimbursements, requisitions, and other financial processing.
  • Academic Personnel: Assist with the preparation of adjunct faculty contracts and payroll summaries and offer timekeeping support.
  • Program Support: Provide support for Psychology team members. Assist with orientation three times per year and DSO Proctoring. Participate in various team and committee meetings. Assist with GSEP annual commencement.
  • Perform other duties as assigned.
  • Uphold University mission through work performed.

Skills and Qualifications

Required: Associate's degree. Administrative assistant training and/or experience. Two years of general office experience; ability to sustain productive, mutually respectful, and collaborative interpersonal working relationships with administrators, faculty, staff, and students; ability to work independently and take initiative; excellent oral and written communication; skill in prioritizing assignments and meeting deadlines in an environment with fluctuating demands. Desktop computer with mainframe interface, laser printer, multi-line telephone, copier/scanner. Microsoft Office Suite.

Preferred: Bachelor's degree. Position of some responsibility in a higher education setting.

Salary: Commensurate with experience.
