The Assistant Director of Trust & Estate Administration manages day-to-day data operations for planned gifts (charitable trusts, charitable annuities, pooled income funds and donor-advised funds) administered by Pepperdine University and its subsidiaries. This position researches and inputs non-routine transactions in trust system (maturities, new gifts, real estate, etc.); Oversees routine trust system transactions, ensures their accuracy, and reviews reconciliations to the brokerage statements; Reconciles trust system payments with accounts payable requests and bank reports; Creates and runs trust reports and prepares analysis as needed by Director or other University administrators; Reviews periodic statements to trust beneficiaries; Prepares and submits trust system data to PeopleSoft by the 5th business day of the month; Performs quarterly reconciliations of the trust system to PeopleSoft; Prepares Annual Statement of Segregated Annuity Fund filed with the state of California Department of Insurances; Coordinates and validates data transfer between University financial systems, outside asset managers, tax agencies, and trust accounting systems; Prepares 1099-R analysis and ensures timely filings with donors and the IRS; Assists with tax matters as they arise and prepare the qualified and unqualified dividend analysis Calculate trust distributions; Prepares materials for the Annual Report, quarterly management meetings; Prepares data for the annual audit; Attends training as requested; Responsible for special projects as assigned.


  • Oversee and provide accurate monthly trust data to Accounting and reconcile PeopleSoft to the trust system on a quarterly basis. Conduct research and use independent decision-making on all non-routine transactions.
  • Independently develop and maintain planned gift accounting system.
  • Perform account reconciliations and coordination with other University systems and outside managers.
  • Manage Annual Insurance Report and Outside Managed Trust Reporting and assist with fiscal year-end audit.
  • Prepare 1099-R analysis and assist with tax matters as they arise.
  • Prepare materials for Annual Report, quarterly management meetings.
  • Perform other duties as assigned.

Skills and Qualifications

Required: Bachelor's Degree. Five years in an accounting environment or three years experience in trust or securities accounting operations. Strong accounting and computer skills; understanding of characteristics of multiple asset classes such as real estate, notes receivable, stocks, bonds, etc.; PC skills particularly Windows and Office Suite; financial analysis skills; good oral and written communication skills; great attention to detail, accuracy, and follow-up; excellent work standardization and organizational skills; ability to work under pressure; ability to work effectively with different personality types; maturity to handle confidential and sensitive matters; a good team player; able to work effectively with minimal oversight; ability to handle multiple tasks concurrently and meet time deadlines; strong commitment to the mission and goals of Pepperdine University.

Preferred: Bachelor's Degree in Business or Accounting. Knowledge of investment accounting and Charlotte accounting software.
