The primary purpose of this position is to provide administrative support that enhances the student experience within the Daytime and Evening Master of Arts in Clinical Psychology with an Emphasis in Marriage and Family Therapy program. The Clinical Training Administrator assists in the support of all Clinical Training operations. The position is located at West Los Angeles campus but serves four campus locations (Calabasas, Malibu, West LA and Irvine). Duties include: provide on-going support to students, faculty and community partners through one-on-one meetings and through trainings/presentations, manage administrative details related to student’s practicum and licensure requirements in digital management system, manage internal organization of digital files and shared drives, handle administrative tasks for CTC team (i.e. scheduling, execute paperwork for authorized expenses, run audits and reports, etc), assist Clinical Training Team in development of relevant content required by MACLP program, and act as point of contact for GSEP Alumni. A portion of the time will be spent auditing and keeping internal files on Digital Management System and social media content/digital resources (i.e. video content/tutorials, slides, and handouts, etc) up to date.

Duties

  • Student/Faculty/Alum/Site Support: 
    • Invite all students and faculty on all campuses to register for required Digital Management System (DMS) used in MACLP program each term/Support students, faculty and site reps/supervisors one-on-one to navigate issues when they arise with DMS/Audit and edit student registration during the term to update faculty rosters and registered users in DMS/Support students with adding supervisors to DMS and transitioning to alumni status in DMS.
    • Provide orientation trainings/Q&A sessions each term to students and faculty on DMS and required steps needing completion prior to graduation (i.e. group, class & one-on-one with faculty).
    • Audit student progress/documents/files on DMS and run reports for Clinical Training Department (CTD)/ Provide follow-up meetings with students to keep them on track toward practicum/graduation requirements.
    • Run queries in PeopleSoft regarding enrollment, anticipated graduation/grades for department in an effort to streamline various projects and communications to students/ Send department announcements to students/faculty.
    • Create and update/edit streamlined video tutorials/presentations, and handouts for students, faculty, and community partners to inorder to provide continuously relevant asynchronous resources available through Courses/YouTube/Tevera.
    • Archive graduate files in University system/ Act as point of contact for recent grad inquiries on hours on file for Pepperdine.
  • Department Administration:
    • Schedule and attend weekly CTD meetings and take notes for department; assist department with scheduling virtual meetings and events.
    • Collaborate with DMS partner and review upgrades/changes in system in order to streamline procedures for department and benefit users/ Train CTD on important changes to DMS/ Support Manager in revision of DMS to streamline procedures for students and department.
    • Build out classes and assignments on DMS from templates. Update DMS student rosters, etc. after add/drop period.
    • Work with CTD, clinical sites, and other key stakeholders to maintain all databases required by BBS and other institutional accreditors/ Assist in compiling statistics when required for assessment and other purposes.
    • Communicate with CTD and clinical sites in order to update and maintain current information on eligible traineeships for students and ensure quality clinical training across all campuses/ Run reports in data management system to gather evaluation data for students and practicum sites for CTD audit/ coordinate follow up meetings with CTD.
    • Identify International Students in classes each term and report to faculty and CTD/direct students to OISS office for support.
    • Train newly hired graduate assistants on DMS.
  • Other duties:
    • Delegate assignments to Graduate assistants in order to support the needs of the CTD.
    • Respond to communications in a timely manner and provide linkages to resources as needed.
    • Perform other duties as assigned, such as participate in annual commencement and other university events.
  • Uphold University mission through work performed.

Skills and Qualifications

Required: Master's degree in a relevant field. Experience working in an academic setting and with digital software platforms and social media. Strong administrative, communication, and presentation/public speaking skills, organized and detail-oriented, collaborative team member and customer service oriented, self-motivated, work well on team, confident in ability to use Google suite (i.e. email, docs, slides, sheets, etc), social media platforms (i.e.Instagram, YouTube, etc), and Zoom. Knowledge of internal digital management systems (i.e. Tevera, Sakai/Courses, Peoplesoft, Google Suite).

Preferred: Master's degree in Marriage and Family Therapy. Comfort with Google Suite/Tevera/Peoplesoft/Sakai/YouTube/Social Media. Confident in ability to use various technologies and software to schedule and promote events, announcements, and resources. Knowledgeable of BBS licensure requirements, able to work effectively with people of varying degrees of training and diverse backgrounds, (i.e. licensed mental health professionals, practicum students, other members of the MFT Clinical Training team, and practicum instructors).

This is a Restricted, Nonexempt, 40 hour per week position.

Expected Pay Range: $19.50 - $21.74 per hour

The above pay range reflects what Pepperdine University reasonably expects to pay for this position at time of posting. Actual compensation may vary based on relevant factors such as work experience, market conditions, education/training, and skill level. In addition to base pay, Pepperdine offers a robust and highly competitive benefits package.
